Privacy Policy
How we look after your stay, your orders, and your personal details at Escape Village Hotel.
Introduction
Your privacy is important to us. This policy explains how Escape Village Hotel collects, uses, and looks after personal data when you stay with us, visit our premises, use this guest site, or otherwise deal with us. It covers both our Yumbe and Moyo locations.
Who we are
Escape Village Hotel, Kujo Yumbe Town Council, Aringa, Bilewu, Yumbe District, Uganda, with a second property in Moyo. You can reach us on +256 393 236 132 or reservations@escapevillagehotel.com.
How we collect your data
We collect information when you:
- browse or use this guest site (menu, rooms, events, pay, and account pages);
- create a guest account or log in;
- place an order, room booking, or event enquiry and pay through the site;
- check in, stay, dine, or use facilities at the hotel;
- contact us by phone, WhatsApp, email, or social media;
- are captured on security cameras on our premises.
Data we collect
Depending on how you deal with us, this may include:
- Identity and contact: name, phone number, WhatsApp number, optional email address, nationality, and (for non-Ugandan guests) passport details required for the hotel guest register;
- Account: login phone, password (stored hashed), and order history linked to your account;
- Orders and stays: what you ordered or booked, dates, times, party size, branch (Yumbe or Moyo), table or service type, special requests, and notes you type;
- Payment: the method you chose (for example MTN MoMo, Airtel Money, MoMo Pay, or cash where offered) and any payment screenshot you upload as proof. This site does not take card numbers and does not run an online card gateway;
- Technical: device and browser details, pages viewed, and similar usage data needed to run the site;
- Images: CCTV on the grounds, and photos you send us (including payment proof).
We may also hold preferences you share with us (for example dietary needs). We only process sensitive data where you have given it to us so we can serve you, or where the law requires it.
How we use your information
We use your data to:
- take, confirm, and fulfil kitchen orders, room stays, and event bookings;
- send the paid ticket to the right branch on WhatsApp so the kitchen or reception can act;
- confirm payment and keep a record of the order;
- create and run your guest account;
- send SMS or email about your order or account, where those services are switched on;
- answer you on phone, WhatsApp, or email;
- keep guests, staff, and property safe (including CCTV);
- keep the hotel guest register required by law;
- improve the guest site and our services;
- send marketing only where you have asked for it or the law allows, and you can opt out at any time.
We process data because it is needed to provide the service you asked for, to meet legal duties, for our legitimate hotel operations, and — for marketing — with your consent where that is required.
Children
We do not knowingly collect personal data from children under 16 through this guest site. If you are under 16, please use the site with a parent or guardian. Parents should know that children’s images may be captured on our premises by security cameras.
Who we share data with
We do not sell your personal data. We share it only as needed:
- hotel staff who take orders, check guests in, or handle accounts;
- WhatsApp, so the branch (and, where used, headquarters) can receive a paid ticket;
- SMS or email providers, if those notifications are enabled in our settings;
- banks or mobile-money operators when you pay them directly — we receive proof from you, not your full wallet PIN or card number;
- authorities when the law requires it (including immigration hotel records).
This guest site is hosted with our WordPress installation. Access is limited to people who operate the hotel systems.
How long we keep data
Guest register details for people aged 18 and over who stay with us are kept for at least 12 months, in line with hotel-records requirements. Account, order, and payment-proof records are kept for as long as needed to run the hotel, handle disputes, and meet tax and legal duties, then deleted or anonymised when no longer required. Lost property is held for about one month.
Your rights
You may ask to see, correct, or delete personal data we hold about you, or to restrict how we use it, subject to the law (for example we must keep some stay records). To do that, contact us using the details above. We handle requests under Uganda’s Data Protection and Privacy Act, 2019.
Security
We take care to keep personal information confidential and to limit who can see it. No internet transmission is completely secure, so please do not send passwords or PIN codes in WhatsApp chats or email.
This guest site
This policy applies to the Escape Village Hotel guest site you are using now (menu, stay, events, pay, and account). Our public marketing website may carry a shorter summary; if the wording differs, the version you can read and we can edit in the hotel desk (Escape Hotel → Settings → Policies) is the one that applies to this site.
Changes
We may update this policy from time to time. The current version is always the one published on this page.
